Privacy Policy

This Privacy Policy explains how Encompass Ideas (“Encompass Ideas”, “we”, “us” or “our”) collects, uses, shares, stores and protects personal data when you visit encompassideas.com (the “Website”), fill in a form on it, or contact us.

We collect only what we need to respond to you and to run the Website. We do not sell personal data.

1. Who we are

Encompass Ideas is a growth consultancy for D2C and consumer brands. Our address is Encompass Ideas, 91 Springboard Lotus, Marol MIDC, Andheri (E), Mumbai 400093, Maharashtra, India.

For the personal data described in this Policy, we are the Data Fiduciary under the Digital Personal Data Protection Act, 2023 (“DPDP Act”) and the Digital Personal Data Protection Rules, 2025 (“DPDP Rules”): we decide why and how it is processed.

This Policy covers the Website only. Our Kairos platform has its own privacy policy at kairos.encompassideas.com/legal/privacy, and client engagements are also governed by the agreement we sign with your organisation.

2. Personal data we collect

Depending on how you use the Website, we collect:

  • Growth Audit and Contact forms — your name, work email, phone number, and optionally your company and website, plus the service you are interested in, your business stage and your message.
  • Cred Deck request — your name, work email and company, and optionally your website and job title.
  • Form metadata — a random submission ID (so a retried submission is not recorded twice), the page you submitted from, the time, and your browser’s user-agent string.
  • Security data — your IP address and browser user-agent, used to rate-limit form submissions and, through Google reCAPTCHA Enterprise, to tell people from automated abuse.
  • Analytics and advertising data — only if you accept cookies: pages viewed, how you arrived, device and browser type, approximate location derived from your IP address, and interactions such as form submissions. See Section 7.
  • Communications — the content of emails, phone calls, WhatsApp messages or meeting bookings you start with us, and our replies.

Please do not include sensitive information (such as health or financial account details) in form messages. We do not knowingly collect it through the Website.

3. Why we use your data and on what basis

We use personal data for these specific purposes:

  • Responding to your enquiry — reviewing your request, contacting you about it, scheduling a call, and sending the Cred Deck or a confirmation email. You provide this data voluntarily for this purpose (a legitimate use under Section 7(a) of the DPDP Act).
  • Protecting the Website — preventing spam, fraud and abuse of our forms through rate limiting and reCAPTCHA Enterprise.
  • Analytics and advertising measurement — understanding how the Website is used and measuring our campaigns, only with your consent through the cookie banner.
  • Marketing emails — only if you separately opt in. We do not add you to newsletters just because you submitted a form, and every marketing email includes a way to unsubscribe.
  • Legal and compliance — meeting legal obligations, enforcing our terms, and establishing, exercising or defending legal claims.

We do not use your data for any purpose that is incompatible with the ones above without telling you and, where required, asking for your consent.

4. Who we share data with

We do not sell or rent personal data. We share it only with service providers who process it on our behalf under contractual confidentiality and security obligations, and only as needed for the purposes above:

  • Microsoft Azure — hosting for the Website, form-processing functions, our database and file storage.
  • Microsoft 365 — sending confirmation emails and Cred Deck documents, and our business email.
  • Google — reCAPTCHA Enterprise (security); and, if you accept cookies, Google Tag Manager, Google Analytics and Google advertising tools. Google Fonts and YouTube thumbnails are also served by Google, which receives your IP address when they load.
  • Calendly, WhatsApp (Meta), YouTube and Vimeo — only when you choose to book a call, message us or play a video. Their own privacy policies apply to what you do on their services.
  • Professional advisers and authorities — lawyers, auditors or government authorities where reasonably necessary and permitted or required by law.
  • Business transfers — if we are involved in a merger, acquisition or sale of assets, personal data may transfer subject to equivalent privacy protections.

5. International transfers

Some of our service providers (including Google, Microsoft and Calendly) may process personal data outside India. Where data is transferred outside India, we do so in line with the DPDP Act, including any restrictions notified by the Central Government, and rely on contractual and technical safeguards appropriate to the transfer.

6. How long we keep data

  • Enquiries and Cred Deck requests — for as long as needed to respond and follow up, and to keep ordinary business records of the relationship. When no longer needed, we delete or anonymise them.
  • Security data — your IP address is used for rate limiting in temporary memory only and is not saved with your enquiry. Our hosting provider keeps standard request logs for a limited period for security and diagnostics.
  • Analytics data — according to the retention settings configured in our analytics tools.
  • Your cookie choice — stored in your browser for 12 months, after which we ask again.
  • Legal holds — longer where the law requires it or to establish, exercise or defend legal claims.

7. Cookies and similar technologies

We use two kinds of cookies and similar technologies:

  • Strictly necessary — needed for security and to remember your cookie choice (for example reCAPTCHA Enterprise cookies and a small record of your choice in your browser’s local storage). These cannot be switched off on the Website.
  • Analytics and advertising — set through Google Tag Manager to measure how the Website is used and how our campaigns perform. These are off until you select “Accept” in the cookie banner. If you select “Reject”, or your browser sends a Global Privacy Control signal, they stay off.

Our tag manager (Google Tag Manager) does not load at all until you accept, so no analytics or advertising tags run before you choose. If you later switch to “Reject”, we tell Google’s tags to stop using cookies straight away, and the tag manager no longer loads from your next page view. You can change your choice at any time using “Cookie settings” at the bottom of every page, or by clearing your browser’s site data.

Videos use YouTube’s privacy-enhanced mode and load only when you press play. Some blog posts embed Vimeo videos, which load with the page and are subject to Vimeo’s own cookie policy.

8. Security

We use reasonable technical and organisational safeguards, consistent with the DPDP Rules, to protect personal data against unauthorised access, loss, misuse or disclosure. These include encryption in transit (HTTPS), access controls based on least privilege, secured cloud infrastructure, keeping secrets out of the browser, and logging that excludes form contents and security tokens.

No method of transmission or storage is completely secure. If a personal data breach affects you, we will notify you and the Data Protection Board of India as required by the DPDP Rules.

9. Your rights

Subject to the conditions in the DPDP Act and other applicable law, you have the right to:

  • Access — a summary of the personal data we process about you and how we process it.
  • Correction and completion — fix inaccurate or incomplete data.
  • Erasure — have data deleted when it is no longer needed for its purpose, or when you withdraw consent and we have no other lawful basis to keep it.
  • Withdraw consent — at any time, as easily as you gave it (for cookies, use “Cookie settings”). Withdrawal does not affect processing already carried out.
  • Nomination — nominate someone to exercise your rights if you die or become incapacitated.
  • Grievance redressal — raise a concern about how we handle your data (see Section 11).

10. How to exercise your rights

Email admin@encompassideas.com, or write to the Grievance Officer at the postal address in Section 11. Tell us which right you want to exercise and include enough detail for us to find your data (for example, the email address you used on our forms). We may ask for information to confirm your identity, and will use it only for that purpose.

If you are not satisfied with our response, or we do not respond within that period, you may complain to the Data Protection Board of India through the official channels it publishes.

12. Children

The Website is meant for businesses and working professionals. We do not knowingly collect personal data from anyone under 18. If you believe a child has sent us personal data, contact admin@encompassideas.com and we will delete it.

13. Automated decisions

reCAPTCHA Enterprise gives each form submission an automated risk score, and a submission that looks automated may be blocked. If you think you were blocked by mistake, email sales@encompassideas.com and a person will help. We do not otherwise make decisions about you based solely on automated processing.

14. Third-party websites

The Website links to other sites, such as social networks, booking tools and client websites. We are not responsible for their privacy practices; please read their policies before sharing personal data with them.

15. Language

This Policy is provided in English. If you need it in another language listed in the Eighth Schedule to the Constitution of India, email admin@encompassideas.com and we will arrange a version where reasonably practicable.

16. Changes to this Policy

We may update this Policy from time to time. We will change the “Last updated” date above and, for material changes, give a prominent notice on the Website.
